Every call answered

A voice that picks up on the first ring at 2am, on a bank holiday, and while your team is already with a customer. It takes the details, books into the live diary and sends the confirmation before the caller has put the phone down.

01  The problem

The call you did not take is the one that cost you

Missed calls do not announce themselves. There is no alert, no entry in the CRM, no line in the P&L. The caller rings, hears the tone, waits eleven seconds and rings the next name on the list. You never find out it happened.

It is worst exactly when demand is highest: lunch hours, the last ninety minutes of the day, Saturday mornings, and every time two lines ring at once. Voicemail does not save it either. Most callers with a live intent will not leave one.

The fix is not another member of staff answering nine to five. It is a system that answers everything, hands the ones that matter to a human, and logs the rest.

02  What you get

Included as standard

01

A voice, not a phone tree

Natural conversation trained on your script, your tone and your policies. No press one for sales.

02

Books into your live diary

Cliniko, Dentally, Google Calendar, Calendly, or straight into your CRM. It sees real availability, not a copy.

03

Warm transfer when it matters

Emergencies, complaints and named callers go to a human with the context already gathered.

04

Full transcription and tagging

Every call transcribed, tagged by intent and searchable. You can audit any conversation in seconds.

05

Out-of-hours and overflow modes

Run it 24/7, or only when your line is engaged, unanswered after four rings, or outside opening times.

06

Monthly answer-rate report

Calls taken, calls converted, bookings held and revenue recovered against your week zero baseline.

03  How it runs

From first call to live

01

We listen first

Two weeks of your real call log and recordings, so the script is built from what your callers actually ask rather than what anyone assumes.

02

Build and rehearse

We stand it up in staging and run it against fifty real scenarios, including the awkward ones, before a customer ever hears it.

03

Go live on overflow

It starts by catching what you already miss, so there is no risk to calls your team is handling well. You widen the remit when you are comfortable.

04

Tune weekly, then monthly

We listen to calls daily for the first fortnight and tighten the script. After that it is a monthly report against the baseline.

04  Investment

Priced on what it returns

Investment

Includes the number, the voice, diary integration, transcription and the monthly report. Per-minute pricing available for high-volume and enterprise accounts.

Questions

Will callers know it is not a person?

Some will, most do not ask. We do not pretend otherwise: the greeting can state it is an automated assistant if you prefer, and in our accounts that has made no measurable difference to booking rates. What moves the number is that somebody picked up at all.

What happens if it cannot handle the call?

It transfers to a human with the context already gathered, or takes a message and raises it as a priority callback. You set the rules for what escalates: emergencies, complaints, named accounts, or anything it does not understand twice.

Does it replace my receptionist?

No, and we would not recommend it. It runs alongside your team, taking overflow and out-of-hours. Practices that keep their front desk and add this see the biggest gain, because the human is freed from the phone to look after whoever is standing in front of them.

Which diaries does it book into?

Cliniko, Dentally, SOE, Google Calendar, Outlook, Calendly, HubSpot, GoHighLevel and most systems with an API. If yours is not on the list we will check it on the first call before quoting.

How long until it is live?

Four weeks is typical. Two of those are listening to your existing calls, which is the part that makes it sound like your business rather than a generic bot.
